PREPARE YOUR ASSESSMENT

How can I share useful dental records before an overseas assessment?

Existing dental records can help an overseas clinician understand your earlier care. Send the requested information to a verified recipient, then confirm that the files are usable; records do not replace an examination.

A KEY QUESTION

Ask what the assessor needs, verify where it is going and confirm that the files can be opened.

01

Get a list from the assessing team.

Explain why you are seeking assessment and where your records are held. The team may want dated X-rays and reports, treatment notes or details of an existing implant or restoration.

List what you already have and what must be requested. Mention treatment or new symptoms since an image was taken so an old record is not mistaken for the current position.

02

Request files the recipient can open.

THE DETAILS TO UNDERSTAND

Contact the original practice through a known route and specify the relevant dates and items. For scans and digital models, establish which formats the receiving team accepts; no single format is required for every assessment.

Preserve original files and reports. If they are in another language, find out whether translation is needed and who will arrange it. Do not edit clinical content to make it appear more current.

03

Verify the destination and permission.

Check the receiving practice, department and contact details using an established channel. Confirm unexpected changes to an upload link or address before sending health information.

Use the practices’ agreed secure route. When authorising a transfer, identify the recipient, purpose and requested records. GDC standards guide the UK sender; ask the overseas recipient about its own privacy arrangements. A general Best Smile Turkey enquiry address should not be assumed to be the destination for a full clinical file.

04

Check that the transfer is complete.

Keep a note of the sender, recipient, date and files sent. Ask the receiving team whether the records are readable, belong to your case and include the requested reports. An upload notification alone cannot tell you that.

If something is missing, identify the particular item before resending everything. Keep your own copies and note which version the team has.

05

Find out what remains provisional.

The assessing dentist should explain what can be judged remotely and what still needs examination or investigation. Sending a scan does not confirm treatment suitability or prevent an estimate changing.

Before booking travel, identify the clinical questions still open and when they will be resolved. Update the team if you have further treatment or develop new symptoms.

Common questions

Ask the assessing clinician whether it is needed and what question it would answer. Existing images may already provide useful information.

They may lose detail. Request available original files and reports, then check the receiving team’s requirements.

Tell the assessing dentist what is missing and where it was held. They can explain whether that gap changes the assessment.
